A Zillow lead is not a client. It is a timestamp on a shared form. The buyer often tapped Contact on more than one listing. Zillow then tries to put a live agent on the line. If you do not answer, they call the next Premier Agent.
That is the convert problem. Not “how do I buy more ZIP codes.” Not “how do I write a better nurture email.” The job is to be the first human voice, qualify, and put a viewing on the calendar before the next desk does.
The rest of this page is how Premier Agent actually routes people, what convert means on a shared portal lead, and the three numbers to pull before you raise spend.
What is a Zillow lead, exactly?
Zillow sells access to buyers who raised a hand on Zillow or Trulia. On Connecting you to motivated leads, Premier Agent names three things you can receive:
- Nurture leads - not ready to speak. Emailed to you to work later.
- Connections - Zillow has already talked to them and wants a live transfer by phone.
- Direct contacts - they asked for you by name.
You buy share of voice in ZIP codes. That share decides how often the next inquiry in that ZIP is offered to you. It is advertising, not a private pipeline.
The Premier Agent FAQ is blunt about connections: if you miss the call, they call the next Premier Agent until someone accepts. Broadcast routing on a team rings several agents at once. First to accept keeps the connection.
That is why “we texted them in five minutes” is not convert. The other team may already be on the live transfer.
Invite-only Zillow Preferred (the old Flex program) is a different contract: post-pay connections, success fee at close, performance routing. Convert still means the same first conversation. The invoice just arrives later. Cost is a different job from convert.
What convert means on a portal lead
Convert is not a funded deal. On a paid Zillow inquiry, convert is:
- You are the first live attempt.
- You learn budget, timeline, and intent.
- You offer two viewing times and book one.
- Notes and the next step land in the CRM the desk actually uses.
A closed sale is a later column. Teams that skip 1-4 and stare at “Zillow conversion rate” are measuring luck.
NAR’s 2025 Profile of Home Buyers and Sellers (survey of recent primary-residence buyers, July 2024-June 2025) is useful here and easy to misuse. 52 percent of buyers found the home they bought online. 70 percent used a mobile or tablet in the search. Median search was 10 weeks. 46 percent said looking online was their first step; 20 percent contacted an agent first.
That is a search process, not a Premier Agent close-rate. It tells you the buyer is already on a phone, often for weeks, and they will talk to whoever picks up while they are still on the listing.
Why Zillow leads go cold faster than a website form
Speed to lead is the clock from inquiry created to first live attempt. Portal leads make that clock harsher.
- The same person can tap three listings in one sitting.
- Zillow will offer the live connection to the next agent if you do not answer.
- Nights and Sundays carry a lot of mobile search. A 9-6 floor is closed for the hours the form is busiest.
- A nurture email is not a connection. Zillow already split those piles.
The evidence for the decay is still the two web-lead papers, not a Zillow panel. James Oldroyd’s 2007 Lead Response Management work with InsideSales.com (more than 15,000 web leads) associated calling at 5 minutes versus 30 minutes with about 100× higher odds of contact and 21× higher odds of qualifying. Outcomes are contact and qualify, not a funded side.
The later HBR audit, The Short Life of Online Sales Leads (Oldroyd, McElheran, Elkington, March 2011), found average first response of 42 hours among companies that replied within 30 days, and about 23 percent never replied. In a separate set of 1.25 million leads, response within an hour was nearly 7× more likely to qualify than waiting one more hour.
Use those papers for the decay curve. Do not paste “100×” onto your Zillow P&L.
How do teams actually convert Zillow leads?
The working path is boring:
- The connection or contact hits Follow Up Boss or the CRM you actually live in.
- Someone - or a voice agent - is already on the first ring. For a live Zillow transfer, that means a human or a system that can take the call now.
- The call qualifies budget, timeline, and intent. It does not recite the listing.
- Two viewing slots. One booked. Written back.
- If they send you to voicemail, the thread continues on SMS, WhatsApp, or email instead of dying in “left VM.”
You do not need a 20-seat ISA floor. You need the lead to produce a conversation, not a notification in a group chat.
Zillow’s own marketing on that connections page says they get an agent live 97 percent of the time and that connections are four times more likely to keep working with you. Those are Zillow’s figures, not an independent close-rate. Read them as “they will find someone.” If that someone is not you, you paid share of voice for a miss.

What should you measure this week?
Do this afternoon. Export last month’s Zillow / Trulia leads. Do not open a vendor dashboard.
- Median time to first live attempt (created → first dial or accepted transfer).
- Accepted connection rate - how many live Zillow transfers you answered versus let roll to the next agent.
- Viewings booked from leads you reached in the first 5 minutes versus the rest.
If you cannot tell nurture from connection from direct contact in the CRM, fix the source field before you buy more ZIP codes. Those are different jobs. Once the source is clean, compute your own Zillow lead conversion rate, and check weekend Zillow leads separately.
Optional fourth: shared-lead loss - people who also appear on another agent’s sheet, or who booked elsewhere after you waited. You will not get a perfect number. You will get a leak.
Common mistakes
Treating share of voice as a pipeline. You bought a chance to be offered the next inquiry. You did not buy the buyer.
Counting the auto-text as convert. Zillow already decided who gets the live transfer.
Leaving the transfer on one agent’s cell. Lunch and a showing donate the connection. Broadcast routing exists because of that.
Optimizing the nurture cadence before the first ring. A prettier drip on a 40-minute delay still loses to an average script at 45 seconds.
Asking Zillow for “the” conversion rate. They do not publish a national close-rate that you can put in a board deck. Measure your own first-call and held-appointment columns.
Mixing Preferred success fees with Premier Agent ad spend in one “cost per lead.” Different contracts. Price the invoice after you can take the first ring.
