BoldTrail AI calling fails when the desk thinks a Smart Campaign is a first ring. The contact is in kvCORE - the product is branded BoldTrail now - the campaign enrolled, and the actual conversation waits until office hours or until someone opens the mobile dialer.
Inside Real Estate unified kvCORE into BoldTrail in mid-2024. Same desk. New name. If your contract still says kvCORE, you are in the same app.
This page is what BoldTrail’s own help site says about campaigns, office hours, and the dialer - and where a live first call has to sit so a new portal lead is not a Tuesday task.
What BoldTrail will do on its own
BoldTrail: A Complete Guide to Smart Campaigns is the page teams skip. Campaigns can trigger on Lead is New. They can send email and text. They can fire webhooks. They can wait.
Office hours matter. Smart Campaign messages (email and text) will not be sent outside of Office Hours. If the lead is added to the campaign after hours, that action runs the following day. Be precise: that sentence is about campaign messages, not about every webhook you might add. Read your own campaign. If the first step is a text, Sunday night is Monday.
That is the same leak as HubSpot operating hours and a Follow Up Boss plan that starts with an email. The CRM did its job. The phone did not.
Speed to lead does not care that BoldTrail is “working the lead.” Oldroyd 2007: 5 vs 30 minutes. A campaign text at 9:12 the next morning is the HBR 42-hour problem with a nicer UI.
The dialer is a person. Shilo is a coach.
BoldTrail mobile app dialer overview: calls from the mobile app go out from the agent’s cell. Desktop uses the Smart Number. That is click-to-call for a human who is looking at the record. It is not “new Zillow contact, ring now” unless you built that.
Shilo, in the Marketplace, is AI call coaching on recorded Smart Number calls. It is not an ISA. Do not buy coaching and tell the owner you bought speed to lead. Coaching needs a call that already happened.
If the new portal lead sits until an agent opens People and taps the handset, you have a queue. Qualify still has to happen on that first talk: budget, timeline, intent, two times, then a note on the person.
What write-back has to look like
A Smart Campaign that marks “attempted” because a text sent is a lie the dashboard will love. The person record needs:
- When the live attempt happened.
- Reached or not.
- Budget, timeline, intent if you talked.
- Viewing hold if you booked one.
- Tag the campaign can actually filter - not a note buried in a logged email.
mergro is a live BoldTrail / kvCORE integration: a webhook when the contact is created, a voice attempt, then the outcome back on the person so the next agent is not calling blind. Get started if Smart Campaigns are doing the talking.
How teams wire a first ring without pretending Shilo is coverage
- Portal or site creates the lead in BoldTrail.
- “Lead is New” can still send your polite email - inside office hours, as documented.
- A voice path - person or mergro - dials on create, including after the floor closed, subject to your counsel’s calling rules.
- Notes land on the person before anyone opens the app in the morning.
Do not wait for the campaign’s next-day text to “warm them up.” The other desk is not warming. They are booking.
Test one Sunday create in a sandbox or a personal cell: campaign email time, campaign SMS time, webhook time, first live call time. Write the four timestamps down. If three of them say Monday, your “Lead is New” campaign is a delay with a trigger name you liked. Fix the first step, or put voice on the webhook and let the campaign be the receipt.
What should you measure this week?
Do this afternoon. In BoldTrail, open last week’s new leads.
- Median time from lead create to first live call - not first campaign message.
- Share of after-hours creates whose first text sat until the next office day.
- People with a campaign completed and no call note. That is the leak with a green check.
If you cannot tell campaign-message time from call time, fix logging before you buy another Marketplace tile.
Common mistakes
Renaming kvCORE in the Slack channel and changing nothing about the queue. The rebrand did not add night coverage.
Treating Smart Number recordings as proof of speed. Recordings prove someone eventually called.
Enrolling new portal leads in a 14-day drip as the first action. Drip is for people you already talked to, or for a dated nurture you chose on purpose.
Telling the owner Shilo will “call the new ones.” Read the Marketplace listing. Coaching ≠ first ring.
Office hours copied from the front desk, 9-5. Campaign texts then inherit a floor you already know is wrong for portal traffic.
Frequently asked questions
Is BoldTrail the same as kvCORE?
For the desk that already lived in kvCORE, yes - Inside Real Estate moved that product under the BoldTrail name in 2024. Logins and help articles still say both.
Can a webhook fire after hours even if texts wait?
Often yes - webhooks are not the same object as campaign email/text. Test yours on a Sunday create. Do not assume. Do not take a blog’s word over the campaign debugger.
Do I need the mobile dialer if voice runs on create?
The mobile dialer is for agents who still work the pile. The create-path is a different job. Keep both. Do not make listing agents the night ISA.
Is this a BoldTrail partner page?
No. mergro integrates with BoldTrail / kvCORE. The constraints above are from their help center.
