AI calling that writes back to Follow Up Boss

A call that does not land in Follow Up Boss did not happen. The next agent will not play your voicemail. They will open the person record. If the note, tag, and stage are empty, they start the qualify over - or they skip the lead.

That is the Follow Up Boss AI problem. Not “can a bot dial.” Whether the dial writes into the CRM the desk already lives in: notes, tags, stages, Action Plans, Smart Lists.

Zillow owns Follow Up Boss. A lot of Premier Agent and Preferred teams are required to keep status there. If your voice tool is a sidecar spreadsheet, you bought a toy.

What Follow Up Boss is for on a desk

FUB is the people database and the daily queue. Official help is clearer than vendor blogs.

Smart Lists are saved filters - stage, last communication, tags, custom fields. Follow Up Boss’s own Smart Lists overview says they exist so you work the right people, and that tasks are for “call Bob about the inspection” while lists are for “everyone not touched in three days.” Default lists include Today’s Leads, Hot, Nurture, PC/SOI. If the new Zillow person never gets a stage or a last-call stamp, they never appear.

Action Plans are timed steps: drip email, task, change stage, add or remove tags, add a note, add collaborators, pause other plans. The Action Plans overview is the source. Plans apply from the person record, from Lead Flow on new leads, or from Automations. They cannot be mass-applied.

Two details teams miss:

  • You can auto-pause a plan when the lead replies by email or text, or when a phone call lasts more than 2.5 minutes logged through FUB calling. Short calls and voicemail are not supposed to kill the plan. If you log a call by hand on desktop, you pause it yourself.
  • Day-zero email goes immediately. Later emails go around 9am in the user’s timezone. Non-email steps post around 5am. A “we called at 9:12pm” note does not exist unless something wrote it.

The API can add notes, apply plans, and merge tags. Tag updates overwrite unless you send mergeTags=true. Setting contacted to true pauses action plans. A sloppy integration that flips contacted on a 12-second voicemail will freeze the drip you thought was working.

What “Follow Up Boss AI” should actually do

The phrase in search is loose. On a working desk it means: the first ring happens, then FUB looks like a human ISA was there.

Minimum write-back after every live attempt:

  1. Note - budget, timeline, intent, listing they tapped, exact words that matter.
  2. Tags - merged, not overwritten. zillow, 0-30-days, has-agent, left-vm.
  3. Stage - Lead, Hot, Nurture, Trash. Your names, consistently.
  4. Appointment - the viewing on the calendar the agents honor.
  5. Action Plan - apply or pause the right one. Do not leave the “new portal lead” drip running after a 12-minute qualify.

If the tool only posts “AI called, no answer,” you paid for a disposition code. Smart Lists cannot prioritize that.

Speed to lead is still the clock. Oldroyd 2007 and HBR 2011 measure contact and qualify, not whether your Zapier row landed. A 40-second call that never writes to FUB is a miss for the next agent even if this one “talked to them.” The same write-back rule on other CRMs: HubSpot, Zoho, Wise Agent, BoldTrail, and Lofty.

How the path should run

  1. Portal or site creates the person in FUB (Lead Flow, native Zillow, or webhook).
  2. Voice agent dials. Qualify. Two times.
  3. Note, tags, stage, appointment write back in seconds, not in a morning batch.
  4. The right Action Plan starts or pauses. Smart Lists update because last communication changed.
  5. If they go to voicemail, SMS or WhatsApp continues and those touches log too.

What should you measure this week?

Do this afternoon. Do not open an AI vendor dashboard. Open FUB.

  1. People created yesterday from Zillow or the website. How many have a note from the first call?
  2. Stage still sitting on the default for more than 24 hours.
  3. Action Plans still running on people who already booked a viewing.

Pick 15 records at random. If five have a call in someone’s cell history and nothing on the person, your integration is theater.

Common mistakes

Calling a dialer an integration. If the agent still types the note, you will not get after-hours notes.

Overwriting tags. One PUT without merge wipes past-client.

Flipping contacted on a voicemail. That can pause the plan FUB told you would pause on a 2.5-minute talk.

Leaving Lead Flow on email-only. The person is created. Nobody rings.

Measuring “FUB AI” as email copy. Action Plan emails at 9am are not speed to lead.

Keeping the conversation in a sidecar app. Preferred teams already have to live in FUB. Do not add a second truth.

Does Follow Up Boss have built-in AI calling?

FUB is the CRM. Zillow markets AI features around search data. Calling that qualifies and books is a different product. Judge any add-on by the person record after the call.

What should an AI write in the note?

The qualify: money, time, intent, listing, next step. Not a transcript dump no one will read.

Will a logged call pause my Action Plan?

Official help: a call over 2.5 minutes through FUB calling or the mobile app can, if you enabled pause-on-response. Manual desktop logs need a manual pause. Confirm on your plan, not on a blog.

Can I apply Action Plans from an integration?

Yes, via the Action Plans People API, or by using Lead Flow and Automations the way FUB already supports. Do not invent a bulk apply. FUB says plans cannot be mass-applied.

Is this the same as HubSpot calling?

Same job, different objects: FUB people / stages / plans vs HubSpot contacts / deals / workflows. The CRM name changes. The write-back test does not.
