Dormant real-estate leads: call the pile before you buy more

Dormant real-estate leads are contacts you already paid for and never finished. Not a mystic “database conversion rate.” A filter: created, still in a nurture or new stage, no live conversation on the file.

Teams buy another ZIP of Zillow while 400 people from last quarter sit on “New.” That is not a lead-gen problem. That is an outbound queue you refused to name.

This page is how to pull the pile, what to say, and what not to invent. There is no honest national “percent of old leads that close.” Anyone selling you 2 percent from a webinar made it up or measured a different file.

Why the pile exists

HBR 2011 (The Short Life of Online Sales Leads): among companies that responded within 30 days, average first response was 42 hours. 23 percent never responded. Your CRM is that study with names.

Speed to lead is for the form that just landed. Dormant work is for everyone who already missed that window. You will not get 100× contact odds on a 60-day-old record. You may still get a person who is back in-market and has not signed anyone.

NAR’s 2025 Profile puts median buyer search at 10 weeks. A lead you ignored in week two can be touring in week eight with someone else - or still browsing. You do not know until you call.

This is not legal advice. Old numbers sit on DNC, consent, and “established business relationship” questions. Have counsel look at the list before you point a dialer at it.

Pull 11-90 days, not “the whole database”

“Call the database” is how ISAs burn a week on 2019 open-house names. Start narrower.

In Follow Up Boss, a Smart List is enough:

  • Created 11-90 days ago.
  • No completed call with a talk time, or last completed call older than 30 days.
  • Stage is New, Nurture, or whatever you use for “not under contract.”
  • Has a phone.
  • Not marked DNC / do not contact.

Eleven days, not one: the first ten belong to the inbound clock, not a recycle campaign. Ninety days, not five years: older files can be a second pass once this slice has outcomes.

Export that list. If the CRM cannot produce it, you cannot run outbound. You can only buy more inbound.

What the call is allowed to be

Same qualify as a new portal lead: budget, timeline, intent, two times. Do not open with a guilt trip about how busy you were.

A working opener: who you are, the listing or portal they inquired on, and whether they are still looking. If they bought with someone else, tag it and stop. If they are paused, write a real next date - “call June 1” - not another eternal nurture.

If they do not pick up, one voicemail and one SMS. Then a second attempt on a different day-part. A 40-touch “reactivation sequence” of emails is how you train them to ignore you.

Do not report a “reactivation rate” to the owner unless you define the denominator: contacted live, still in-market, held appointment. Three different numbers. Mash them and you will fund another webinar.

What should you measure this week?

Do this afternoon. Build the 11-90 day uncalled list.

  1. Headcount on that list. If you cannot get a number, the CRM is decoration.
  2. Live conversations this week from that list - not dials, talks.
  3. Held appointments from those talks. That is the only number that can argue against buying more portal share.

If live talks are zero after 50 dials, your phones are bad or the list is worse than you thought. Fix data before you buy a “reactivation AI.” To price one pass over the pile at your own rates, use the old database calculator.

Common mistakes

Calling 2017 sphere names and calling it dormant portal work. Different list. Different consent story.

A blast email “are you still looking?” with no phone pass. You already know they ignore email. That is why they are dormant.

Putting recycled names back to New so dashboards look alive. The owner will buy more ads against a fake funnel.

Skipping write-back on a no. The next ISA will burn the same minute.

Using 100× as the pitch for a 70-day-old record. That study is first response on a new lead.

Should I pause new Zillow while I work the pile?

Not as a slogan. Run both. The pile is a block on the calendar. New forms still get the first five minutes.

How many attempts on an old contact?

Two live-attempt days with a note, then a dated follow-up or a true close-out. Infinite drip is how files rot in public.

What if the number is wrong?

Tag bad-phone. Stop counting that row as a lead. Buying more on top of bad numbers is how invoices grow and appointments do not.
