Wise Agent is a live CRM for independent agents and small teams. It is good at the pile. It will not invent a first ring unless you wire one.

What the Call List and WAVV actually are

Wise Agent’s Call List sits on the dashboard: who is due, notes, next call. That is a working queue for sphere, overdue follow-up, and yesterday’s leftovers. It is not “contact created from Zillow, dial now.”

WAVV is a power dialer add-on: voicemail drop, recordings kept on the order of 30 days, and one individual per subscription. A power dialer is a human with a faster handset. It does not watch the new-contact webhook while that human is on a listing appointment.

Speed to lead is the create-path. Oldroyd 2007: 5 vs 30 minutes. If the new name waits until tonight’s Call List block, you already lost the connection race.

Do not tell the owner you “have AI calling” because WAVV can drop voicemail. Voicemail drop is a pile tool. A new Premier Agent connection is a live transfer or an immediate outbound. If the first thing the buyer hears is a recorded “just giving you a call back,” you trained them to wait for a person who is already late.

Why new portal leads still die in a good CRM

Typical path:

  1. Lead import or a form creates the contact.
  2. They land on someone’s Call List for “later.”
  3. The agent power-dials last week’s overdue names first because those rows are already on the dashboard.
  4. The new row gets a note tomorrow. Zillow already offered the next agent.

Qualify still belongs on the first talk: budget, timeline, intent, two times. Write it in Activity Tracker. If it is not on the contact, it did not happen. Same rule as Follow Up Boss.

Weekend imports make this worse. A Saturday Zillow CSV dropped into Monday’s Call List is farming with extra steps. The form already aged two nights. If you cannot create the contact when the form lands, you do not have inbound. You have a batch job. Fix the create-path before you buy another WAVV seat to “catch up.”

Activity Tracker is also where next-call dates go to die. “Follow up” with no day is how the same name appears every morning. Use a real date or close the loop. A power dialer pointed at eternal follow-ups will always look busy.

What write-back has to look like

WAVV recordings vanish on their retention clock. Your CRM note should outlive the wav file:

  • Attempt time and reached / missed.
  • The four qualify fields if you talked.
  • Viewing hold if you booked.
  • Next call only if there is a real next call - not an eternal “follow up.”

How teams keep the Call List and still hit the clock

  1. New portal or site contact creates.
  2. A voice path dials immediately - not “add to tonight’s list.”

  4. If they need a second attempt, then they belong on the Call List.

Keep WAVV for the pile and for sphere. Do not make the power dialer the only night coverage. One subscription, one user, one shift.

If two agents share a login to stretch one WAVV seat, you will lose who called and you will fight their terms. Buy the seat or do not pretend you have two dialers. The create-path should not depend on that seat being logged in at 8:50pm on a Sunday.

What should you measure this week?

Do this afternoon. Split last week’s new contacts from Call List completions.

  1. Median minutes from create to first live attempt on new portal rows.
  2. Share of new rows whose first activity is a next-day Call List check.
  3. Contacts with a WAVV recording and no written qualify note. The recording will expire. The next agent will not listen to it.

If new and old are one list, the new ones lose. Separate the views.

Common mistakes

Buying a second WAVV seat and calling it 24/7. It is a second human, still a shift.

Dropping voicemail on a brand-new Zillow connection as the first action. Try live first.

Leaving notes in WAVV only. Retention is short. The CRM is the system of record.

Importing a weekend CSV Monday morning into the Call List. That is farming. The form landed Saturday.

Measuring dials, not talks, not holds. Power dialers inflate dials. Appointments do not.
