UK estate-agent enquiries: ring the viewing before the next branch

A UK estate-agent enquiry is a person asking for a viewing or a valuation. It is not a “lead” and it is not an ISA job title. Rightmove and Zoopla will still pass that enquiry to the next branch that answers. The clock is the same. The words are not.

This is the only UK-volume page in this calendar. Do not copy a US hiring plan onto a high-street branch. Do not write this for people hunting a flat on Rightmove. It is for the agency that pays the portal invoice.

Same clock, different language

Speed to lead in US studies is still the useful clock: Oldroyd 2007, 5 vs 30 minutes, about 100× contact and 21× qualify. HBR 2011: 42-hour average among firms that replied within 30 days. A UK branch that emails at 11 the next morning is that leak with a different portal logo.

Say enquiry, viewing, valuation (or appraisal), vendor, applicant, branch. Do not staff an “ISA” unless that is actually what you hired. Applicants want a viewing time. Vendors want a valuation slot. Mixing those scripts is how you sound like a US call centre.

NAR’s US buyer survey is not your market. Use it only as a reminder that people search on phones. For UK hours, Rightmove’s own older Little Blue Book (2018) told agents most leads were sent around 8-9pm. That is a 2018 Rightmove publication, not a 2026 weekend study. It is still a reason not to close the phones at 5:30.

What Rightmove actually asked of branches

Rightmove’s Handling Enquiries guide (Property Academy mystery shops) is operational, not a close-rate:

  • Exceptional email response: usually within a working hour, personal, not a generic dump of listings.
  • Answer every call.
  • Personalised, not copy-paste.

A working hour is not a first ring. An exceptional email can still lose the applicant to the branch that phoned.

Property Industry Eye reported a Rightmove exercise on 213 letting agents: about 40 percent took more than 24 hours on a viewing request; about 1 in 10 managed phone and email within an hour; about 31 percent hit the appraisal opportunity inside 24 hours. Cite that as a Rightmove-run mystery shop via PIE - not as your 2026 conversion rate, and not as sales-side gospel. It is evidence that branches are slow, not a number to put on a pitch deck as “the UK rate.”

After hours in a UK branch is often “after the window display lights go off.” The enquiry form does not care.

Zoopla can push in seconds. The branch still has to speak.

Zoopla’s Leads Push Service delivers applicant and appraisal payloads quickly - on the order of seconds - and keeps them for a stated retention window (their docs have used 30 days). Push is plumbing. If the CRM lights up and nobody rings, you bought a faster email.

Do not send applicants to a second consumer Rightmove URL in your follow-up. You already have the enquiry. Book the viewing.

Qualify still maps, with UK words: budget or target price, timeline, intent (applicant vs just browsing vs vendor), two viewing or valuation times the branch can honor.

What should you measure this week?

Do this afternoon. Export last month’s Rightmove and Zoopla enquiries.

  1. Median minutes from enquiry to first live outbound or pickup.
  2. Share emailed inside a working hour with no call. That is the Handling Enquiries trophy and a missed viewing.
  3. Held viewings (they attended) versus diary slots you set.

If you cannot split sales viewings from lettings viewings from valuations, your report will lie to the partners.

Common mistakes

Pasting a US speed-to-lead blog into the branch WhatsApp group. The words are wrong. The applicants notice.

A generic “thanks for your enquiry, here are 12 similar properties” email. Rightmove already told you that fails the mystery shop.

Letting the portal app badge count as a response. Opening the app is not a call.

Measuring “leads” like a US team. You will hire the wrong person and miss valuations.

Ignoring 8-9pm enquiries because the branch is shut. 2018 or not, that hour is when people sit on the sofa with the app.

Frequently asked questions

Should we hire an ISA?

Only if you mean a person whose job is the first conversation. Most UK branches already have negotiators. Give them a create-path, or put voice on it. Do not import a US seat model as a slogan.

Is a working-hour email enough?

It is the exceptional bar Rightmove published for email. It is not a viewing in the diary. Ring as well.

Can we use WhatsApp first in the UK?

Many applicants will reply there. First attempt should still be the phone if you have a number. Confirm PECR/GDPR with counsel. Do not blast a template book to a cold list and call it an enquiry response.

What about Zoopla versus Rightmove?

Both are enquiries. Zoopla’s push can be faster plumbing. The branch job does not change.
