Virtual ISA for real estate: remote hours, not a different job

A virtual ISA is an inside sales agent who does not sit in your office. Same job: first ring, qualify, book, write the CRM. Different chair. Usually different hours.

Teams buy the seat because nights leak and they do not want another desk in the bullpen. That is a coverage purchase. It is not a new profession.

What a virtual ISA is - and is not

NAR’s Inside Sales Agent certification frames the job as cultivating leads and adding qualified customers to the office funnel over phone, email, or online. Location is not in the definition. A good virtual ISA is that job on a video stand-up and a Follow Up Boss login.

It is not:

  • a call center that takes a name and promises a callback
  • an offshore appointment setter you never hear
  • “ISA services” that live in their own CRM
  • voice AI with a staffing label

If they cannot discuss listings in your state, they are setters. Pay and measure them that way. License rules are state-specific. Not legal advice.

BLS still does not publish an ISA wage series. The nearest official number remains the employed sales-agent median - $56,320 in May 2024, Occupational Outlook Handbook. That is not a virtual-ISA invoice. A remote seat also costs the manager’s review hours and every lead that arrived after their last logged dial.

What remote actually changes

Hours. A person in another US time zone can cover your 7-10pm without overtime theater. A person overseas can cover Sunday. Ask for the last hour they will place a first call, in your market’s local time. “We cover evenings” is not a median.

Handoff. They are not in the room when the script is wrong. You need recorded calls and a Tuesday listen, or you have outsourced a voicemail farm.

CRM. If they work a vendor database and email you a recap, the desk does not have a lead. Follow Up Boss write-back is the test: note, tag, stage, appointment, plan paused.

Accent and market language. Buyers will tell you. Listen to three calls before you sign a year.

After hours. Nights are why you hired them. If their shift still ends at 8pm your time, you bought a cheaper 9-6.

Speed to lead does not care where they sit. Oldroyd 2007: 5 vs 30 minutes. HBR 2011: 42 hours and 23 percent never. A virtual ISA who starts the queue at 10am local is a hire with Slack.

What to demand before you sign

Write these into the SOW. If they will not, they are a message service.

  1. Median time to first live attempt on new portal leads, reported weekly, from your CRM timestamps.
  2. Login to your FUB or HubSpot. No sidecar.
  3. Call recordings you can sample without asking permission each time.
  4. Last dial hour in your time zone, including Saturday and Sunday.
  5. Held appointments, not sets.
  6. License posture for your states.

If they sell “unlimited dials” and will not show first-call medians, you are buying activity.

Virtual ISA vs voice AI

A virtual ISA extends a shift. Voice AI covers the clock when that shift is empty - inbound and outbound, then WhatsApp and SMS, then write-back.

Use a virtual ISA when you want a human on a defined evening block and you will manage them like a hire. Use voice AI when the leak is 11:40pm and Sunday, or when the virtual team’s last dial is still before the form’s busy hour.

Do not stack a virtual ISA and a voice agent on the same first ring without an owner. Two people “covering” is a group chat.

What should you measure this week?

Do this afternoon. If you already have a virtual ISA, export 30 days.

  1. Median first live attempt, including after 6pm.
  2. Notes in your CRM after each talk-off. Percent empty.
  3. Held appointments vs sets they reported.

Common mistakes

Buying “nights” without the last-dial hour.

Letting them live in their CRM. The handoff will always be late.

Skipping call review because they are remote. Remote is why you review more, not less.

Paying ISA wages for setter work. Different job.

Treating virtual as cheaper AI. It is a person. People sleep.

Measuring only talk time. Held appointments and first-call medians match the studies.

Do buyers hate out-of-area callers?

Some do. Listen to the calls. Do not decide from a tweet.
